• To take overall responsibility for the Facilities Management of Jubilee House, including Reception, The Welcome Inn, The Academy, and our third-party contractors.

We need someone who can:
• Management of Jubilee House Facilities budget, whilst proactively identifying opportunities to make cost savings in line with business needs
• Completing Inductions with each new starter who joins the business ensuring they understand the role of Facilities and providing Health and Safety awareness
• Take responsibility for commercially developing The Academy within the Industry through proactive planning and relationship building
• To handle telephone, email and in person enquiries for meetings, conferences, and events
• Management of the Academy bookings diary, taking both internal and external bookings, whilst proactively planning in internal events and managing stakeholder expectations
• Direct line management responsibility of the Office Support Assistant, People Experience Apprentice and Catering Assistant’s in addition to our third-party cleaning and security teams
• Take overall responsibility for all stock onsite including stationary, Welcome Inn stock
• Lead the team to take responsibility for the management and replenishment of our onsite coffee machines
• Support in executing awesome internal events such as payday drinks and conferences

Pubs, people, and possibilities are at the heart of everything we do, so the ideal candidate will:
• Provide and execute excellent standards of operation and service within The Academy which are reflective of the best Punch pubs
• Plan and organise any employee activities such as pay day drinks, conferences, and communication huddles
• Work closely with the Marketing Team to ensure the Academy bar range is up to date and reflective of the current range offer in the pub estate
• Carry out day-to-day troubleshooting and address problems as they arise throughout the building

• Identify new opportunities and ways to utilise the Academy for internal recognition and engagement
• Support with changing the culture within Jubilee House off the back of our recent office changes project
• Project Management and delivery of all repair and investment works within Jubilee House
• Negotiate with external service providers and suppliers as required
• Lead on internal communications with the wider businesses when required focused on the Academy events and Facilities
• Ensure our internal communication TV screens are up to date including welcoming visitors and publicans to key events
• Leading the Facilities and Academy team to ensure they provide a hospitable people experience to all users
• Manage the effective usage of our onsite car charging points and inn post lockers
• Co-ordinate charity and engagement activity within Jubilee House whilst involving our field teams

Accuracy is key to this role, so we need a team member who can:
• Ensure compliance with health and safety and other legal regulations and policies, whilst holding the responsibility of Health and Safety Representative
• Ensure compliance for all required Risk Assessments
• Effectively manage and communicate with Jubilee Houses’ Fire Marshal and First Aid Teams
• Effectively communicate daily with the relevant teams to ensure all Jubilee House activities are executed professionally
• Lead the way within Jubilee House around ESG ensuring the office presents the achievement of our Green Mark certification
• Management of onsite Facilities Management Services including Security and Cleaning
• Management of third parties providing Facilities Services, including: Proactive Preventive Maintenance, Reactive Repairs, Catering, Vending, Grounds maintenance, Pest Control, and Waste
• Ensure all required PPM’s are complete in a timely manner in line with compliance requirements with required documentation
• Take ownership in dealing with complaints and ensure the feedback is followed up and communicated to the relevant parties
• Be proactive in building transparent and sustainable professional relationships with employees, key stakeholders and external suppliers
• Understand stakeholder expectations at a detailed level and take ownership for the outcomes
• Complete contract reviews when required to ensure the efficiency of the service being provided to Punch
• On call by telephone to support incident and emergency activities outside of normal working hours

• Supervise maintenance, supplies and equipment, actioning and communicating any required follow ups
• Oversee all Academy users during each event to ensure an epic service is provided
• Ensure our Reception area offers an awesome experience for all visitors, publicans, and employees
• Work closely with departments within the office to provide the best possible people experience throughout
• Build effective relationships with our field teams to support with the success of team meetings and Immersion days
