Role Purpose

The purpose of the role is to provide an outstanding hospitality experience for all visitors and employees. To deliver an epic warm ‘Punch’ welcome to all who visit Jubilee House Reception, whilst proactively supporting with Jubilee House Facilities queries and Academy Events.

  • Timely management of all post and deliveries within Jubilee House to support efficient operations.

  • Maintain the bar and cellar, ensuring a high standard of cleanliness at all times.
  • Support during all events in The Academy, ensuring an outstanding hospitality experience throughout.
  • Ensure the Academy bar is always fully stocked and manage bar drinks and confectionary stock, including date checking.
  • Support with ensuring pump clip requests are actioned in a timely manner, including ownership of stock levels, which are to be appropriately maintained.
  • Build awesome relationships with suppliers when they visit the site to complete PPMs and reactive repairs.
  • Support with ensuring all required PPMs are completed in a timely manner, in line with compliance requirements.

  • Take pride in and ownership of the presentation of The Reception and The Academy, ensuring both spaces reflect professionalism.
  • Oversee work carried out by external suppliers while ensuring all completed work is logged accurately on SharePoint.
  • Ensure that all stationary orders are authorised and conduct regular stock checks in the Stationery Room.
  • Work closely with the Cleaning FM Team to create and action a weekly defect list efficiently.
  • Monitor stock levels and replenish training rooms, stationery, and tea/coffee supplies.
  • Ensure all First Aid kits around the building are fully compliant.
  • Take pride in the appearance of the building through daily internal and external walkarounds.

  • Provide a warm Punch welcome to Publicans, ensuring they feel valued upon arrival.
  • Provide an epic hospitality experience to all at Jubilee House by setting up meeting rooms to individual requirements.
  • Carry out day-to-day troubleshooting and address problems as they arise, ensuring a proactive approach.
  • Proactively communicate feedback and challenges, presenting creative solutions to the appropriate stakeholders.

Accountabilities:

• Coordination of individual workload and diary, ensuring all required tasks are complete in a timely manner
• Hosting all visitors and internal staff, ensuring that all security and signing in procedures are adhered to, including taking ownership of the Digital Visitor Sign-in solution
• Working closely with other members of the broader Facilities team to ensure the switchboard is managed effectively, and all calls are handled promptly and transferred correctly
• Supporting with the completion of all required maintenance and repairs at Jubilee House
• Ensuring all Business Operating Processes for the site are always followed (including the completion of weekly Fire Alarm Checks)

 

Technical Competencies / Professional Expertise:

• The passion to deliver an epic service is key so experience in a hospitality or customer service environment is highly desirable
• Competent IT skills in Microsoft Packages (including Outlook, Excel and Word)
• Previous administration and coordination skills desirable
• Willingness to continuously develop through further additional training and relevant qualifications
• Reactive problem solving and decision-making skills
• The ability to build relationships and appropriately communicate to people of all levels
• Able to work in a team by demonstrating flexibility, a fun attitude and the ability to share knowledge – a real team player
• Planning, organising and flexibility – the ability to multi-task and deal with fast changing priorities, all whilst providing a top-class hospitality experience
